Choose addresses people can maintain
Begin with individual accounts for the people who need to sign in. Decide how customer-facing addresses such as hello@ or accounts@ should be handled. A role address is a business responsibility; it is not a reason to share one person's password across the team.
Keep your domain registration account under company control and record its renewal responsibility. If an agency bought the domain for you, clarify ownership and DNS access before starting. Domain purchase and renewal are separate from the email service.
- Confirm the domain, DNS administrator, and renewal owner.
- List each person who needs a mailbox.
- Record existing addresses that customers already use.
Prepare the workspace before routing email
For the Synk pilot, request access with your domain count, mailbox count, and current provider. Workspace setup is arranged individually. Once the workspace is available, its owner or admin can add the first domain and follow the ownership verification flow.
Configure the intended users and mailbox addresses as part of the agreed setup. Do not change a live domain's incoming mail route while you are still deciding which addresses must exist. An existing provider should stay available during a planned transition.
Understand the DNS records you are changing
MX records tell other mail systems where to deliver incoming mail. TXT records can carry ownership verification and email-authentication policies. Website records have a different job. Copy the values from Synk for your domain, and keep unrelated website records unchanged.
DNS updates are not immediate everywhere. Record the previous values and recheck the new public records rather than repeatedly editing them. If your business uses a separate newsletter or invoicing sender, include it in the authentication review.

Finish with a real two-way test
Use an external address you control to send a simple message to the new mailbox. Reply from Synk and confirm both the visible sender and receipt. Repeat with a small attachment that contains no sensitive data, and check the team's everyday browser or supported app.
Agree who handles an unavailable mailbox, a departing employee, and a domain-health warning. Current Synk pilot mailboxes are capped at 2 GiB; planned paid tiers are not an active subscription offer. Confirm the limits fit your first team's use before inviting more people.
